Painting quotes are made of detail that is quick to say and slow to write. Preparation, filling and sanding, primer on new plaster, one coat or two, woodwork and trim, the ceiling that is or is not included, whose paint it is, and who moves the furniture.

The composer works from what you actually describe, which for decorating work is usually some combination of:

- Repairs and primer, including the new plaster that needs sealing first.
- Coats per surface, so two coats on the walls and one on the ceilings do not collapse into a single line.
- Rooms and surfaces as separate items: walls, ceilings, woodwork, doors, skirting, frames.
- Materials and labour split the way you price them, at your day rate or your per-room rate.
- Exclusions, written onto the quote: ceilings not included, customer supplying paint, furniture to be moved before the start.
- Cleanup and making good at the end, which is the line customers notice when it is missing.
Quote from the property, not from your memory
Walk the house with the phone in your hand and talk. Kitchen, two coats, fill the cracked wall by the window. Hallway, one coat on the ceiling. Skirting and frames in satin. Not doing the garage.
Back at the van, those notes are already a draft with lines, quantities and your prices on it. You change what needs changing, add the exclusions you always add, and send it. Nothing is retyped from a piece of card, and nothing is missing because the card was in a different jacket.
A worked example: a three-bedroom repaint
Spoken while walking the property, in the words a decorator would use.
Three bed semi for the Hardys. Two coats emulsion to all bedroom walls, ceilings one coat. Fill and sand the crack in the back bedroom. New plaster in the hallway needs a mist coat first. Both figures are the ones dictated. The exclusions are on the document, which is what stops the conversation four weeks later about whether the garage was in the price.
